To enhance accessibility and streamline services, KNEC introduced the Query Management Information System (QMIS).
This electronic platform facilitates the online submission and processing of queries related to examination results, including the Certification of Examination Results for candidates who have lost their certificates, Confirmation of Examination Results, and the Equation of Foreign Qualifications.
Additional Queries Handled by QMIS:
Bio Data Amendments: Users can request changes to their personal information, including name, photo, gender, year of birth, birth certificate number, citizenship, and entry code.
Direct Recoveries: The system allows for the retrieval of KCPE/KCSE result slips, certificates, and result printouts.
Results Queries: Users can address issues related to absenteeism, missing marks, and payment queries.
Detailed Schedule of the QMIS Process:
Access the System: Clients need a computer or mobile phone with internet access. Visit the QMIS website at https://qmis.knec.ac.ke.
Registration/Login: New users will be prompted to register, while registered users can log in using their credentials.
Users will be prompted to make a payment via M-Pesa for the processing of their query.
Upon successful processing, KNEC will notify clients via the provided email or phone number to collect their processed documents. Clients must present the original copies of the documents they attached during the application process at the time of collection.
For individuals who have lost or damaged their original certificates, KNEC has clarified its policy: “KNEC does not replace lost certificates. Instead, we issue a CERTIFICATION LETTER to those who may have lost their certificates.” This certification letter is legally recognized and serves as a valid substitute for the original certificate.
How to Apply for a KNEC Certification Letter for a Lost Certificate:
- Register an Account: Begin by creating an account on the QMIS platform.
- Log In: Use the credentials sent to your email to access your account.
- Select the Lost Certificate Option: Navigate to the menu and choose the “Lost Certificate” option.
- Fill in Required Details: Enter your Index number, type of exam, and year, then click “FIND.”
- Attach Necessary Documents: Include the following mandatory documents:

- A copy of the lost certificate or result slip
- Both sides of your ID
- A recent passport-sized photo
- A police abstract
6. Confirmation from the registrar of persons (available at NSSF Building, 7th floor, Upper Hill, Nairobi)
7. Once all documents are attached, submit your application.
8. Await Verification: Your application will undergo verification.
9. You will receive an SMS notification prompting you to log in and make the payment.
10. Pay the processing fee of KES 5,220 and await the processing of your application.
11. Regularly check the system for updates on your application status.
12. Collect Your Certification Letter: Once processed, you will receive an SMS notification to collect your certification letter from KNEC offices.
Thanks to the QMIS platform, applicants can conveniently manage their requests without the need for in-person visits to KNEC offices, except for the collection of physical documents once their queries have been resolved.
